CAVA HOUSE Terms & Conditions of Stay

Article 1 – Scope of Application

These terms govern all accommodation agreements and related arrangements between CAVA House and its guests.
Any matters not covered herein shall be governed by applicable laws and/or generally accepted practices.
If a separate agreement is made between the guest and the hotel, such agreement shall take precedence as long as it does not violate laws, regulations, or public customs.

Article 2 – Application for Accommodation

To apply for a stay, guests must provide the following information:

  1. Guest name
  2. Check-in date and estimated time of arrival
  3. Any other information deemed necessary by the hotel
Requests to extend a stay beyond the original booking will be treated as a new reservation.
Please book through our website or reservation center.

Article 3 – Establishment of Contract

The accommodation contract is considered established when the hotel accepts the guest’s request.
Once confirmed, the guest must pay a deposit by the specified due date.
The deposit will be applied in the following order:

  1. Deducted from the final accommodation fee
  2. Deducted from any penalties or compensation (if applicable)
  3. Any balance will be refunded to the guest
Failure to pay by the due date may result in the cancellation of the reservation (if the deadline was clearly communicated).

Article 4 – Exemption from Deposit Requirement

The hotel may enter into a special accommodation agreement even without a deposit.
If no payment is requested or no deadline is specified, it shall be considered a valid agreement without a deposit.

Article 5 – Right to Refuse Accommodation

CAVA House may decline a reservation under the following circumstances:

  1. The request does not comply with these terms
  2. Rooms are fully booked
  3. The guest is deemed likely to violate laws or public order
  4. The guest is affiliated with any of the following antisocial groups:
    • Crime syndicates, members, associates, or related individuals
    • Organizations controlled by crime groups
    • Companies whose board members are part of such groups
  5. The guest causes significant disturbance to others
  6. The guest is clearly identified as having an infectious disease
  7. The guest makes violent or unreasonable demands
  8. The hotel cannot accommodate due to force majeure
  9. The guest has previously shown abusive or violent behavior toward hotel staff

Article 6 – Guest Right to Cancel

Guests may cancel their reservation by notifying the hotel.
If cancellation is due to personal reasons, a penalty will be charged in accordance with Appendix 1 (except if cancelled before payment).
If the guest fails to arrive by midnight on the scheduled day or within one hour of the stated arrival time without notice, the booking will be treated as canceled.

Article 7 – Hotel Right to Cancel

CAVA House may cancel a reservation under the following conditions:

  1. The guest engages in illegal or improper conduct
  2. The guest is affiliated with criminal or antisocial organizations
  3. The guest causes serious disruption to others
  4. The guest is confirmed to have a contagious illness
  5. The guest makes unreasonable or violent demands
  6. The hotel is unable to provide services due to force majeure
  7. The guest smokes indoors, damages fire safety equipment, or violates fire regulations
In such cases, the hotel will not charge for unused services.

Article 8 – Guest Registration

On the day of check-in, guests must provide the following:

  1. Full name, age, gender, address, and occupation
  2. For non-residents of Japan: nationality, passport number, port and date of entry
  3. Departure date and intended length of stay
  4. Any other necessary information
For non-cash payments, please present the payment method at check-in.

Article 9 – Room Usage Hours

Guest room hours are from 3:00 PM to 11:00 AM the following day.
Guests staying multiple nights may use the room throughout the day (excluding check-in and check-out dates).
Late check-out fees:

  1. Over 1 hour: ¥5,000 (tax included)
  2. Over 2 hours: ¥10,000 (tax included)
  3. Over 3 hours: Full day’s rate will apply

Article 10 – House Rules

Guests must follow all posted hotel rules and in-room regulations.

Article 11 – Facility Hours

Facility hours are posted on signage, in guest guides, or in-room booklets.
Any temporary changes will be announced in advance.

Article 12 – Payment

Guests must pay their accommodation fee in accordance with Appendix 2.
Accepted payment methods include cash, accommodation vouchers, credit cards, or bank transfers.
If the guest does not stay overnight despite having booked, the accommodation fee still applies.

Article 13 – Bank Transfer Fees

Guests are responsible for any fees related to bank transfers.

Article 14 – Hotel Liability

Except in cases of force majeure, the hotel is liable for damages resulting from its failure to fulfill the accommodation contract.
CAVA House holds liability insurance for incidents such as fire or accidents.

Article 15 – Inability to Provide Reserved Room

If the hotel is unable to provide the reserved room, it will make every effort to arrange equivalent accommodation.
If no suitable arrangement is possible, the hotel will provide compensation unless the cause is due to force majeure.

Article 16 – Luggage & Belongings

  • Luggage delivered prior to arrival must be approved in advance by the hotel.
  • Lost items found after check-out will be held for 14 days (including the date found).
  • Perishable or difficult-to-store items (food, drink, clothing, etc.) may be disposed of immediately.
  • Valuables may be reported to local authorities.
  • The hotel is not responsible for unclaimed items.

Article 17 – Guest Responsibility

Guests shall be liable for any damage caused to the hotel due to intent or negligence.
Any disputes or conflicts between guests must be resolved by the parties involved; the hotel bears no responsibility for such matters.

Appendix 1 – Cancellation Fees (Related to Article 6, Clause 2)

  1. The percentage indicates the proportion of the total accommodation fee charged as a cancellation penalty.
  2. Shortening the duration of stay is also subject to cancellation fees.
  3. Penalties may be waived if the guest can provide proof of travel disruptions due to natural disasters or similar uncontrollable events.
  4. Room count is calculated based on the total number of rooms booked for the same property on the same check-in date.
  5. Fees are based on the number of rooms reserved at the time of booking.
  6. If the cancellation policy differs by rate plan, the terms of that plan shall apply.
  7. Payment methods follow Article 12.

Appendix 2 – Breakdown of Accommodation Charges (Related to Article 12, Clause 1)

The total amount payable by guests includes:

Accommodation Fee, which consists of:

  1. Basic Room Rate
  2. Service Charge (included in the basic rate)
  3. Consumption Tax (10%)

In-Room Guidelines

1. Room Facilities

  • Air Conditioning:Press the power button on the remote control to turn the unit on or off.
    Use the temperature buttons to adjust the room to your preferred comfort level.
  • Hot Water:The bathroom provides continuous hot water.
    Turn on the bathroom’s hot water switch or shower lever, then adjust the temperature using the handle.
  • Wi-Fi:Complimentary Wi-Fi is available.
    Select the hotel’s network on your device and enter the password (see the in-room card or contact the front desk for details).

2. House Rules

  • No Smoking: Smoking is strictly prohibited inside the room and on the balcony.
  • Balcony Access: For your safety, please keep the balcony door closed unless necessary.
  • No Pets: Pets are not allowed in the room, except for certified service animals (e.g., guide dogs, hearing dogs).
    Contact the front desk if assistance is needed.
  • No Parties or Loud Noise: Please refrain from holding parties or making excessive noise in your room.
    Inappropriate behavior may result in a request to leave the property.
  • No Hazardous Items: Open flames, fireworks, or any dangerous materials are not permitted inside the room.

3. Safety Information

  • Emergency Exits: Please take note of the emergency exit locations in your room and hallway.
    In case of evacuation, use the stairs — do not use the elevators.
  • Fire Extinguishers: Extinguishers are available on every floor.
    In case of fire, remove the safety pin, aim at the base of the flames, and spray.
    Notify the front desk immediately.
  • In Case of Earthquake: Stay calm. Take cover under sturdy furniture or in a doorway, protecting your head.
    Once shaking stops, follow exit signs and evacuate via stairs.
  • In Case of Fire: Leave the room immediately following evacuation procedures.
    Close the door behind you, bring essential belongings, and follow the lit signs to the nearest stairwell.
    Do not use the elevators.

4. Check-Out

  • Standard Check-Out Time: Please complete check-out by 11:00 AM on the day of departure.。
  • Self Check-Out: Our self check-out service is available.
    Please complete the process before the deadline, or contact the front desk for assistance.
  • Late Check-Out: If you need a late check-out, kindly inform the front desk by the day before.
    An additional fee may apply depending on availability.

6. Waste Disposal

  • Sorting Waste: Please separate your trash properly.
    Paper, plastics, metals, and glass go into the black recycling bin; other trash into the white bin.
  • Drop-off Locations & Times: Place sorted waste in the designated collection point on your floor or at the main disposal area on the ground floor.
    Please do so by 10:00 AM daily. Trash placed later will be collected the next day.
